Learning Hub Guide for Parents
How Senior School parents log in to the Learning Hub, read their child's timetable, homework and assessment calendar, follow continuous reporting feedback, message teachers and get help when something does not work.
The Learning Hub is the Senior School's learning management system. Students use it every day for class materials, homework and submitting work; parents use it to see what is due, how their child is progressing and to communicate with teachers. It sits alongside the Parent Portal (and the St Mary's Connect app), which handles attendance, notices, permissions, payments, interview bookings, reports and lunch orders — see the Parent Portal Guide. A simple rule: learning lives in the Learning Hub; administration lives in the Parent Portal.
Logging in
- Go to hub.stmaryswc.vic.edu.au or tap the Learning Hub tile inside the Parent Portal or the St Mary's Connect app. The Learning Hub uses the same username and password as the Parent Portal (single sign-on), so there is nothing extra to remember.
- Each parent or guardian has their own login. If both parents want access, each must be listed as a contact on the enrolment record — contact the Senior Office to add a parent.
- Forgotten password: use Reset password on the login page; a code is sent to your registered mobile. If you no longer have access to that number, phone the ICT Helpdesk on (03) 9555 0130.
- Parents of students in Years 7–12 see a Parent Dashboard with one tab per child. Junior School families do not use the Learning Hub; Years P–6 use Seesaw-style class journals through the Parent Portal.
What you can see
| Section | What is there |
|---|---|
| Timetable | Your child's daily timetable with room numbers and teacher names, updated live for room changes and substitute teachers. Wednesday shows the 2:45pm finish and CSSA sport. |
| Assessment Calendar | Every assessment task, SAC or exam with due dates, weighting and the task sheet. Filter by subject or month; export to your own calendar with the Subscribe link. |
| Homework | Homework set by each teacher with due dates and whether it was submitted. Late or missing work is flagged in orange. |
| Feedback (Continuous Reporting) | Results and written feedback for each assessed task, usually within ten school days of the due date. Year 11–12 SAC scores appear here. See Assessment and Reporting. |
| Class pages | Course outlines, lesson resources and revision material for each subject. |
| Pathways | Subject selection forms, careers appointments, VCE documents, exam timetables (Assessment → My Exams). |
| Wellbeing | Homeroom program notes, and a confidential Request Support button that goes to the Year Level Coordinator and Counsellor. |
| Messages | Two-way messaging with teachers and coordinators. |
Attendance, absences, permission forms, payments, interview bookings for Learning Conversations, and semester reports are in the Parent Portal, not the Learning Hub. Subject selection interview bookings (Year 10) and careers appointments are the exception and are booked in the Learning Hub.
Messaging teachers
- Open your child's tab, choose Messages → New, and select the teacher from the list (class teachers, Homeroom teacher and Year Level Coordinator appear automatically).
- Keep messages brief and specific; attach files if needed.
- Teachers aim to reply within two working days. Messages are not monitored after 5:00pm, on weekends or in holidays; for anything urgent phone the Senior Office on (03) 9555 0100.
- Absences should be reported via the Parent Portal or absentee line, not by messaging a teacher — see Absences and Late Arrivals.
- Students can also message their teachers; parents can see messages their child sends and receives.
If a matter needs more than a message, request a phone call or meeting through the same channel and the teacher will offer times.
Notifications
Under Settings → Notifications you can choose email or push (through the St Mary's Connect app) notifications for new feedback, overdue homework, upcoming assessments (three days ahead) and new messages. We recommend the Weekly Summary, sent every Sunday at 5:00pm, which lists the coming week's assessments and any overdue work.
Tips for a productive weekly check-in
- Sit down with your child for ten minutes on Sunday evening with the Weekly Summary: what is due, what is started, where help is needed.
- Look at feedback comments, not only scores; teachers write specific next steps.
- Check the timetable for sport uniform days and Wednesday early finish.
- In Years 11–12, use the Assessment Calendar to spot weeks with multiple SACs and plan around them.
Troubleshooting
| Problem | What to do |
|---|---|
| Cannot log in | Reset password; if the code does not arrive, check your mobile number with the Senior Office |
| A child is missing from my dashboard | The Senior Office will check your contact record — (03) 9555 0100 |
| Timetable looks wrong | Room changes update live; if a subject is missing, message the Year Level Coordinator |
| Homework shows as missing but was submitted | Ask your child to check the Submitted tab; if it still shows missing, message the teacher |
| App not updating | Log out and back in, or update the St Mary's Connect app from the app store |
